Administrative Officer

Job Description

 

Qualification:  Bachelor's or Masters Degree, preferably BBA

Required Experience:  

•    BBA with overall 8 -10 years of experience of which 2-3 years in supervisory position
•    Proven experience in administrative roles, preferably in educational institute
•    Strong organizational, communication, and interpersonal skills.
•    Proficiency in computer applications, including MS Office suite and database management.
•    Ability to make complex operational decisions.
•    Ability to work independently, manage multiple tasks, and meet deadlines.
•    Attention to detail and a commitment to maintaining confidentiality.
•    Knowledge of university policies and procedures is a plus.

Responsibilities:

  1. The Administrative Officer will work closely with the Director and support the faculty, researchers, staff, and other stakeholders to maintain a smooth and organized work environment.

  2. Supervise daily operations of the office, managing staff, ensuring efficient workflow, and maintenance of office facilities including safety, and security.

  3. Develop organizational policies and procedures in compliance with relevant regulations.

  4. Analyze data, preparing reports, and presenting findings to support decision-making processes.

  5. Prepare, review, and track departmental budget.

  6. Handle recruitment processes, maintain employee records ensuring accuracy and confidentiality, administering employee benefits, and handling employee inquiries.

  7. Coordinate with internal/ external functions/departments such as Project Office / Infrastructure / Security / IT etc to deliver on timelines and managing staff.

  8. Liaising with Vendors and processing invoices in coordination with Procurement and Finance team.

  9. Assist in organizing conferences and other events hosted by the institute.

  10. Addressing administrative issues and making decisions in a timely and effective manner.

 

Key Skills

Extensive administrative expertise, Government rules and regulations, acts, Good Communication and written Skills in English, Hindi & Marathi, Handling Correspondence with Departments/ University & Other institutes, Proficient in Computer Knowledge with MS-Office and Reports
